Finance and Benefits Administrator

Duties:

  • Review agency bank accounts daily to ensure account balances are above set minimum limits.   Make transfers between accounts as necessary.
  • Manage agency account receivables including printing invoices daily and communicating with customers and Account Executives following our Account Receivable workflow.
  • Oversee direct commission download, receipts and the reconciliation within the management system.
  • Process direct bill commission import, receipts and the reconciliation within the management system.
  • Process agency bill commissions, disbursements for company payments, and reconciliation.
  • Review requests for renumeration to vendors for accuracy and changes. Make disbursements weekly.
  • Maintain and reconcile Producer Payables.
  • Provide Account Executives with monthly reports: Production; Status of Accounts; Account Receivables.
  • Administer month end close.  Generate and provide month end financial reports to ownership and management.
  • Administer and manage agency payroll functions and supporting duties including expense reimbursement.
  • Provide billing assistance and guidance to Account Managers including financial agreement assistance.
  • Provide miscellaneous reports to management as requested.
  • Prepare E&O renewal application.  Review with COO.
  • Provide companies with agency E&O certificate as requested.
  • Provide W-9’s as requested.
  • Maintain for reporting employee expenses by utilizing general ledge schedules.
  • Assist COO with annual budget creation and monthly review.
  • Process agency’s annual Worker’s Compensation Audit.
  • Prepare E&O renewal application.  Review with COO.
  • Annual tax preparation.
  • Maintain up to date employee benefit records within the management system.
  • Administer the agency benefit program; including benefit orientation, enrollment, benefit enrollment changes, termination of benefits, Cobra.
  • Coordinate and communicate with COO all information regarding agency benefit renewals.
  • Communicate to all eligible employees the process of the agency benefit open enrollment.
  • Up to date education regarding accounting processes of agency management system and benefit practices.
  • Express ideas for ways the Agency can be more efficient through use of its resources.
  • All other duties as assigned by COO.

Qualifications:

  • High School Diploma; college degree preferred.
  • Accounting degree or a minimum of 5 years of accounting experience preferred.
